VALIDATION WORKFLOW
CONTROL AND OPTIMISE A DOCUMENT'S LIFE CYLCE

Linked to Centrinfo, the DIFDOC module allows for the management of validation circuits for documents, from their upload to their final validation.

The pre-configured circuits allow for the automatic directioning of a document towards the relevant collaborators. This way, the documents have specific life cycles depending on precise criteria : the distributing collaborator, the type of document, the specialty...

Thanks to the real-time availability of the documents, the validation times are optimised. Each collaborator is notified via a daily mail, in accordance with the tasks they have to complete.

The generated tracking tables and an access to validation stats allows for a precise visualisation of a project's progress.

FOLLOW THE VALIDATION WORKFLOW

Each user, in accordance with their role in the circuit, have a personal log book that evolves with the actions done by every collaborators : distribution date of a document, responses given (notices, visas, observations...), status of the document...

An ordering by circuit allows for a quick tracking of the documents distributed.

By accessing a document's history, one can view the detail of the given responses (comments, attached files...).

TRACKING TABLE – REPORTS AND STATS

At any time, it is possible to generate an update on the progress made, according to advanced research criteria. Each result can be exported as a pdf file or excel spreadsheet.

The « global » stats (restricted of access) give an insight on the status of a project's validations. Diagrams allows for the quick visualisation of the favourable/unfavourable responses ratio, or the distribution of response types given on the project.

Thanks to stats filters, it is possible to specify criteria: distributing collaborator, validation circuit, or date intervals. The diagrams are instantly updated with the selected information.

To make collaboration easier, an « observations » section, attached to a document's version, is available for all the collaborators of a circuit. These observations work as questions/answers on a given subject and allow for more precision on the documents' validation.
They are available for consultation for one document, or extractible as a list (pdf/spreadsheet) according to search criteria. The management system for these observations allows the user to know at any moment which are resolved, and which are ongoing.
